BloodHound Costumes – Terms of Service & Commission Agreement
Effective Date: August 28, 2026
These Terms of Service govern all custom commissions placed with BloodHound Costumes. By submitting an inquiry, accepting a quote, remitting payment, or authorizing work to begin, the commissioner agrees to the following terms.
1. Commission Scope & Eligibility
Eligibility & Rights: Commissioners must be at least 18 years of age and legally competent to enter into binding agreements. The commissioner must provide a clear visual reference sheet and represents that they own or hold explicit authorization to use and commission the character design, artwork, and intellectual property supplied.
Quote Validity: Written quotes provided via inquiry forms or direct messaging remain valid for 30 calendar days from issuance.
Bespoke Craftsmanship: Every piece produced by BloodHound Costumes is bespoke, wearable art custom-built from the ground up. Handmade and 3D-fabricated items contain minor variations inherent to the production process; no two items are identical.
Concept Sign-Off & Technical Adaptations: Before fabrication begins, the commissioner will review and approve a digital concept draft or design confirmation. Physical builds follow the approved concept closely. Minor artistic, proportional, and structural adaptations may be made during fabrication to ensure structural integrity, durability, ventilation, peripheral vision, and proper fit; these necessary technical adjustments do not constitute defects. Significant design changes requested after concept sign-off will require a revised quote and updated production timeline.
2. Materials & Base Specifications
Standard 3D Bases: Costume heads are constructed on 3D-printed bases designed by MaimFace and printed using high-grade PETG.
Upgrades & Custom Sculpting: Impact-resistant, flexible TPU, alternative base designs, and custom sculpting are available upon request for an additional fee and are quoted separately.
Textiles & Sourcing: Faux furs and specialty fabrics are sourced from reputable industry vendors, including BigZ and HowlFabrics. Swatches or photos will be submitted for approval prior to purchasing when practical. Because digital displays and dye lots vary, minor color and texture variations between digital screens and physical textiles do not constitute defects. If an approved textile becomes unavailable or discontinued, reasonable substitutions will be proposed for client review.
3. Investment, Billing & Queue Structure
Pricing: Head commissions start at a base rate of $600, covering up to three colors and standard detailing. Intricate markings, additional colors, specialty textiles, custom horns, moving components, extra parts, or complex sculpting will increase the quote accordingly.
50/50 Payment Schedule: Installment plans are not offered unless agreed to in writing. Payments follow a two-stage structure:
50% Non-Refundable Deposit: Due upon concept/quote approval. The deposit reserves the commission slot and funds material purchasing and project preparation. Work will not begin until the deposit clears.
50% Final Balance: Due upon project completion, delivery of final review photos/video, and prior to shipping or delivery.
Accepted Payment Methods: Payments are accepted via Zelle or Cash App. PayPal is not accepted. Alternative commercial payment methods may be arranged solely at BloodHound Costumes' discretion.
Queue Placement: Slots are reserved strictly in order of cleared deposits. When a slot opens, the commissioner has 7 calendar days to submit the deposit before the position is forfeited to the next client in queue. Commissioners unable to submit a deposit within 30 days of notification may lose their reserved position and will be required to re-enter the queue at current pricing.
4. Production Timelines, Sizing & Sign-Off
Estimated Turnaround: Standard build time for a head is approximately 12–16 weeks after production begins. Additional components (hand paws, feet paws, tails, accessories) typically add 4–8 weeks each. All production timelines are good-faith estimates and do not represent guaranteed delivery dates.
Unavoidable Delays: BloodHound Costumes is not liable for production delays resulting from events beyond reasonable control, including supplier shortages, transit disruptions, equipment breakdowns, power outages, serious illness, family emergencies, or natural disasters. The commissioner will be notified of significant delays as soon as reasonably practical.
Measurements & Fit Responsibility: Commissions are tailored strictly to the measurements, head casts, or duct-tape doubles (DTDs) supplied by the commissioner. BloodHound Costumes is not responsible for fit issues resulting from inaccurate, altered, or improperly prepared measurements. Sizing or design changes requested after patterning, cutting, printing, or assembly has begun will incur additional labor and material charges.
Final Sign-Off: High-resolution photo and/or video documentation will be provided for final walkthrough before packaging. The commissioner must report any concerns within 7 calendar days of receipt. Payment of the final balance constitutes full acceptance of the completed piece.
5. Cancellations, Refunds & Abandonment
Commencement of Work: Work officially begins once the 50% deposit has cleared and BloodHound Costumes begins material acquisition, 3D printing, patterning, or active fabrication.
Client Cancellation: If the commissioner cancels before work begins, the deposit will be refunded minus any incurred costs for non-returnable materials and administrative setup. Once work has commenced, all payments received to date are strictly non-refundable to cover allocated labor and materials. The commissioner will not be billed for the remaining unpaid balance.
Maker Cancellation: If BloodHound Costumes must cancel a commission before completion due to maker incapacity or unforeseen circumstances not caused by commissioner breach, the commissioner will receive a 100% full refund of all payments received. Alternatively, by mutual written agreement, the commissioner may elect to receive all completed physical components and purchased raw materials alongside a prorated refund for uncompleted labor.
Commissioner Inactivity: If a commissioner fails to respond to required communication for 60 calendar days, the commission will be placed on inactive hold. If the commissioner remains unresponsive for 180 calendar days, the project is deemed fully abandoned, and all payments received are retained.
6. Final Payment, Storage & De-Characterization
Payment Window: The final 50% balance is due within 14 calendar days of completion notice.
Storage Fees: Balances unpaid after 14 calendar days will accrue a storage fee of $5.00 per day. Completed and paid commissions that cannot be shipped due to commissioner non-response will accrue the same storage fee after 30 days.
Abandonment & Resale: If a completed commission remains unpaid, uncollected, or unclaimed for 60 calendar days following completion notice, the item will be considered abandoned. To recover outstanding storage, labor, and overhead expenses, BloodHound Costumes reserves the right to alter, modify, remove unique proprietary character markings, de-characterize, and resell or repurpose the physical base without infringing upon the commissioner’s underlying character intellectual property.
7. Shipping, Delivery & Risk of Loss
Shipping Terms: All finished pieces are shipped via UPS with tracking by default. Shipping costs are the sole responsibility of the commissioner unless explicitly included in the quote.
Risk of Loss (F.O.B. Shipping Point): All shipments are made F.O.B. Shipping Point. BloodHound Costumes will package items with professional care; however, title, risk of transit damage, delays, theft, and loss transfer entirely to the commissioner once the parcel is accepted by the carrier.
Insurance: Full shipping insurance is not automatically included. Third-party carrier insurance is strongly recommended and will be added at exact carrier cost upon the commissioner's request prior to dispatch. The commissioner agrees to cooperate fully with carrier requirements in the event of an insurance claim.
8. Pet, Allergen & Studio Advisory
Work is conducted in a private studio environment shared with dogs. An allergen-free environment cannot be guaranteed.
Commissions incorporate synthetic textiles, faux furs, high-density foams, industrial adhesives, plastics, resins, and finishes that may cause sensitivities in certain individuals. Commissioners are responsible for disclosing known allergies prior to material purchasing. Commissioners with severe pet dander or synthetic material allergies proceed at their own discretion.
9. Workmanship, Wear & Modifications
BloodHound Costumes provides custom, hand-crafted art. If the commissioner identifies a significant defect in workmanship, BloodHound Costumes must be notified in writing within 14 calendar days of delivery.
Normal wear and tear, rough handling, accidents, moisture damage, heat exposure, pet damage, improper storage, or unauthorized third-party repairs and alterations are not covered and void all workmanship support.
Post-delivery modifications or repairs outside of workmanship defects may be quoted separately.
10. Intellectual Property Rights
Character Ownership: The commissioner retains exclusive ownership of their original character concept and underlying intellectual property.
Maker Rights & Portfolio Use: BloodHound Costumes retains exclusive ownership of all proprietary construction patterns, digital files, templates, 3D slicing parameters, sculpting techniques, and original media produced during the build.
Promotional Display: BloodHound Costumes reserves the right to photograph, film, and display all work-in-progress and completed items across online portfolios, social media, websites, advertising, and print channels unless confidentiality is agreed to in writing prior to fabrication. Commercial reproduction or unauthorized casting of BloodHound Costumes' patterns or sculpts is strictly prohibited.
11. Safety, Assumption of Risk & Liability Limitation
Wearable Costume Safety: Costume heads and wearable pieces restrict peripheral vision, reduce acoustic awareness, impede airflow, and retain significant body heat. Items are not protective gear, sports equipment, safety helmets, or children's toys.
Assumption of Risk: The wearer assumes all inherent risks associated with wearing custom costume pieces. BloodHound Costumes is not liable for personal injury, falls, heat exhaustion, respiratory distress, or property damage resulting from costume use. Wearers must hydrate frequently, take regular breaks, and utilize an accompanying handler/spotter.
Limitation of Liability: To the maximum extent permitted by applicable law, BloodHound Costumes’ cumulative monetary liability for any claim, breach, or damage arising out of this agreement shall not exceed the total amount actually paid by the commissioner for the specific project. In no event will BloodHound Costumes be liable for indirect, incidental, special, punitive, or consequential damages.
12. Communications & Conduct
The commissioner must maintain active, accurate contact information and respond to design queries within reasonable timeframes.
Abusive, threatening, harassing, or fraudulent behavior will result in immediate termination of the commission under Section 5 client cancellation terms.
13. Governing Law & Exclusive Jurisdiction
This Agreement is governed by and construed in accordance with the laws of the State of Ohio, without regard to conflict-of-law principles.
Any legal action, small-claims proceeding, or dispute arising out of or related to this Agreement must be brought exclusively in the state or municipal courts located in Lucas County, Ohio, and all parties consent to personal jurisdiction within this venue.
14. Entire Agreement & Severability
These Terms, together with the accepted project quote and approved design specifications, constitute the entire agreement between the parties. Any modification must be executed in writing by BloodHound Costumes.
If any provision of this agreement is determined to be invalid or unenforceable, all remaining provisions remain fully binding and enforceable.
15. Acceptance of Terms
Submitting a commission inquiry, paying a deposit, approving a design concept, or authorizing production constitutes formal, legally binding acceptance of these Terms of Service.
